QUOTECHECK SUPPLIER QUOTE REVIEW CHECKLIST ============================================================ NOTICE: HUMAN-READING CHECKLIST ONLY THIS FILE IS NOT AN IMPORTABLE QUOTE TSV. DO NOT PASTE OR IMPORT INTO THE WORKSPACE AS QUOTE DATA. This checklist is an offline reading tool to help buyers cross-examine supplier quotations before entering numbers into a comparison tool or spreadsheet. LOCAL PRODUCT BOUNDARIES ------------------------------------------------------------ - Designed for small procurement reviews: up to 3 suppliers, 20 priced lines per supplier. - Single currency per comparison (USD, MXN, BRL, TWD, or HKD); no currency conversion. - QuoteCheck does not calculate landed cost and does not guarantee lowest complete cost. - This checklist does not constitute legal, tax, or professional procurement advice. THE 5 CRITICAL QUOTE TRAPS TO VERIFY ------------------------------------------------------------ [1] UNIT CONVERSIONS & PACKAGING TRAP [ ] Check packaging units: Does the quote specify pieces, cartons, or sets? [ ] Verify conversion rates against supplier text (e.g., 1 carton = 4 pieces). [ ] Do not extrapolate piece prices from carton totals without explicit supplier packaging confirmation. [ ] For bundled kits: Preserve whole-kit pricing. Do not invent separate component prices without supplier documentation. [2] SCOPE & SPECIFICATION OMISSIONS TRAP [ ] Confirm specification match: Check physical dimensions, materials, and model numbers against your requirement baseline. [ ] Identify missing line items: Has a vendor left out required accessories, drawers, or secondary components? [ ] Check explicit exclusions: Note whether delivery, offloading, assembly, or installation are explicitly excluded. [3] FREIGHT & DELIVERY TRAP [ ] Check delivery status: Is shipping included, separately quoted, excluded, or pending confirmation? [ ] "Freight to be confirmed" is an unknown expense; never treat pending freight as zero ($0.00). [ ] Separate quote-wide delivery surcharges from per-item line rows. [4] TAX BASIS TRAP [ ] Determine tax inclusion: Are sales taxes, VAT, or duties included, separately itemized, or unspecified? [ ] "Tax unspecified" is NOT tax-exempt. Keep unknown tax status distinct from zero tax. [ ] Verify if tax rates apply to product rows only or to delivery and service fees as well. [5] COMMERCIAL TERMS TRAP [ ] Record validity window: Check expiration date of quoted prices. [ ] Note lead time conditions: Preserve literal supplier conditions (e.g., "4-6 weeks after deposit") rather than estimating delivery dates. [ ] Check payment terms: Document deposit percentages, milestone schedules, and balance terms. [ ] Note warranty and service boundaries: Record manufacturer warranty coverage and inspection requirements as text notes. [ ] Commercial term notes do not alter line-item amounts or constitute legal contracts. FINAL DECISION REMINDER ------------------------------------------------------------ A lower known subtotal does not prove a lower complete cost when scope, shipping, or taxes remain pending. Clarify gaps with suppliers before awarding orders.
